DebtDesk

The back office built for debt mediation.

The full mediation workflow, from affordability to automated payment distribution. Built for South Africa, not a generic CRM.

DebtDesk dashboard: total outstanding, recoveries over time, and a debt-by-status breakdown

Built alongside a working South African mediation practice, around how mediators actually operate.

Most mediators run half the job in a spreadsheet.

A contact system holds names and notes. The parts that make mediation work still happen by hand.

  • Affordability worked out by hand

Income, expenses, and disposable income recalculated in a spreadsheet for every client.

  • Creditor negotiations lost in an inbox

Proposals, responses, and follow-ups scattered across email with no audit trail.

  • Payments split with a calculator

Each client payment divided across creditors manually, fee and VAT included, every month.

One system, the whole mediation.

From first intake to a settled account, every stage lives in one place with a clean record behind it.

  1. Onboard

Capture the client and their details in a guided intake.

  2. Assess

Income and expenses become a live affordability picture.

  3. Propose

Build and send creditor proposals, then track every response.

  4. Distribute

Capture a payment and split it across creditors automatically.

  5. Close

Settle accounts and issue paid-up letters when done.

The payment distribution engine

The part a generic CRM cannot do. Capture one payment, and DebtDesk splits it across every creditor by the agreed proposal, handles the mediation fee and VAT, and records it for the trust account.

DebtDesk payment distribution document: client details, financial summary, and a per-creditor distribution table

Proportional by proposal

Every creditor gets their agreed share, calculated the same way each time.

Fee and VAT handled

The mediation fee comes off first, with VAT applied where the practice is registered.

Trust-ready record

Each distribution produces a clear instruction and receipt for the trust account.

Native to South Africa.

Not a global tool with a currency switch. The details that matter locally are built in.

Preloaded NCR creditor list

Over a thousand NCR-registered creditors, ready to attach to a client account without retyping contact details.

Add a debt in seconds, not minutes.

Rand, end to end

Every amount, fee, and statement in ZAR.

SA ID validation

Client identity checked on intake.

SMS-signed mandates

Clients sign the consent mandate from their phone.

POPIA-aware storage

Documents kept without personal data in file paths.

Built for mediation, not adapted to it.

A generic CRM can hold your contacts. It was never designed to run a mediation practice.

Questions mediators ask

What is DebtDesk?

DebtDesk is case-management software built specifically for South African debt mediators. It handles the full workflow: client onboarding, affordability assessment, creditor proposals and negotiation, automated payment distribution across creditors, and the documents a mediation practice needs.

Who is DebtDesk for?

DebtDesk is for South African debt-mediation firms, from solo mediators to small teams, who want a system built around mediation instead of adapting a generic CRM or spreadsheets.

How is it different from a generic CRM like ClientFlow?

A generic CRM stores contacts and notes, but leaves the mediation-specific work to spreadsheets: affordability maths, creditor proposals, and splitting each client payment across creditors. DebtDesk does those jobs natively, including automated proportional payment distribution with the mediation fee and VAT handled.

Does it work for South African debt mediation specifically?

Yes. DebtDesk is built for South Africa: amounts in Rand, SA ID validation, a preloaded list of NCR-registered creditors, SMS-based client mandate signing, and POPIA-aware document storage.

Is debt mediation regulated by the NCR?

Voluntary debt mediation is not regulated in the way debt review under the National Credit Act is. DebtDesk is back-office software for running a mediation practice. It does not provide legal or regulatory status, and it is separate from formal debt review or debt counselling.

Can it distribute client payments to creditors automatically?

Yes. When a payment is captured, DebtDesk splits it proportionally across the client's creditors based on the agreed proposal, deducts the mediation fee and VAT where applicable, and produces a distribution record for the trust account.
